Job Description:
The Senior Project Manager plays a vital role in planning, executing, and closing projects within the organization, with a primary focus on digital media initiatives. This position serves as the key point of contact for project stakeholders, external partners, and vendors, ensuring projects are delivered on time, within scope, and within budget. The ideal candidate will demonstrate strong project management expertise, deep knowledge of digital media best practices, and the ability to lead and motivate cross-functional teams.
Responsibilities:
- Own the gathering, definition, and documentation of project requirements.
- Provide estimated hours and detailed timelines for medium-to-high complex digital tactics.
- Consult across internal teams, external agency partners, and third-party vendors to ensure digital best practices are followed.
- Coordinate internal and external reviews throughout the project lifecycle.
- Develop, maintain, and manage project Scope of Work (SOW), staff plans, and timelines.
- Lead the change management process, revising plans as necessary to meet evolving needs.
- Define and track tasks, dependencies, priorities, and milestones, managing resources to completion.
- Ensure internal teams, external partners, and vendors understand their assignments, due dates, priorities, and budget.
- Manage relationships with external partners to facilitate project needs.
- Participate in client status meetings and present project plans as needed.
- Act as a central communicator, providing project updates, scheduling meetings, and capturing meeting notes.
- Own internal project status sheets and contribute to external client status sheets.
- Manage project tasks, timelines, updates, and health using project management tools.
- Define project scope, objectives, and deliverables.
- Monitor project progress, make necessary adjustments, and ensure quality standards are met.
- Coordinate and manage the med-legal submission lifecycle process.
- Assemble and lead project teams, assign tasks, and provide guidance and support.
- Manage project financial health, provide burn reports, and partner with Client Services for financial pacing.
- Identify and assess project risks, develop mitigation plans, and manage risks throughout the project lifecycle.
- Own the change management process, providing detailed analysis of proposed changes and obtaining client approval.
- Maintain comprehensive project documentation and generate regular project reports.
- Ensure smooth project closure, conduct post-project evaluations, and capture lessons learned.
Qualifications:
- Minimum of 5+ years in a project management role, with 2+ years of experience with pharma clients.
- Deep knowledge of project management methodologies and tools.
- Expertise in digital media best practices and various project types including online advertising, digital analytics, print advertising, etc.
- Strong understanding of project requirements gathering.
- Proficiency in Microsoft Office suite, Tableau, and Adobe Acrobat.
- Experience in the media industry, preferably at a media agency.
- Familiarity with project management software such as Jira, Wrike, or Asana.
- Ability to thrive in a fast-paced, deadline-driven environment.
